Skeleton Key is a new game development studio and division of Wizards of the Coast. We are a group of industry veterans who are guided by the belief that empowering our teams and providing the proper time, tools, and support we can foster a creative culture where everyone can do their best work.
Our new studio will be located in Austin, TX, and we are looking for a passionate and dedicated Office Manager to join us. This role specifically would need to have local availability to the office in Austin.
Reporting to the Studio General Manager you will play a meaningful role supporting executives' calendars, expense reports, and ad hoc requests requiring discretion, judgment and attention to detail. The Administrative Assistant will coordinate with internal work groups, senior executives, and external vendors. In addition to administrative office support, this person will create/revise presentation material, and serve in a key support role for strategic meetings.
What You’ll Do:
- Oversee and support administrative duties in the office to ensure that it operates efficiently.
- Interact and manage relationship with landlord and office space property management.
- Coordinate office space needs for facilities and maintenance with external vendors.
- Manage and oversee visitor policies and processes as well as visitors themselves.
- Coordinate studio team events including planning, budget, and execution.
- Provide guidance and support for expense reporting for team members.
- Assist with studio onboarding and new hire processes.
- Receive and sort incoming mail and deliveries, and manage outgoing mail.
- Responsible for distributing company gifts and swag.
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars.
- Manage and maintain studio leader’s calendars & phone calls, process expense reports, and deliver on other daily administrative tasks as needed
What You’ll Bring:
- 3-5 years of work experience in an administrative/office management role.
- Strong organizational and time management skills, and ability to prioritize.
- Excellent communication and interpersonal skills.
- Extensive knowledge and proficiency in MS Office applications (Office, Word, PowerPoint, Excel, Web-based applications).
- Experience handling vendor contracts, purchase orders, & invoices.
- High attention to detail and strong analytical and problem solving skills
- Ability to handle multiple tasks effectively and efficiently.
