Job description

The 2nd Assistant provides comprehensive administrative support to the CEO under the direction of the Chief of Staff. This position requires strong organizational and time management skills, as well as the ability to interface with all internal departments, external clients, and vendors. The ideal candidate is an experienced admin who has a desire to learn and enthusiasm for being part of a growing entertainment studio! 

Responsibilities

    • Heavy phone management; acts as main point of contact for all incoming and outgoing calls
    • Maintain awareness of industry and business partners, high priority contacts and correspondence
    • Greet visitors and clients as front-facing liaison, provide a welcoming and professional representation of the CEO’s office
    • Support Chief of Staff in calendar management and scheduling;, including coordination of internal and external meetings, calls and correspondence across multiple time zones
    • Coordinate and confirm restaurant reservations; ordering-in meals as necessary
    • Organize and maintain offices spaces, process mail, inventory supplies and storage; partner with Operations to ensure necessary items are stocked 
    • Organize, maintain, and track filing systems and databases for business and personal needs, including but not limited to: contacts, processes, gifting
    • Direct documents to appropriate parties, obtain necessary approvals, collect and prepare information as needed
    • Reconcile and process monthly expense reports
    • Event and travel management including but not limited to: ground transportation, catering orders, tickets and reservations, supporting guests needs
    • Support Chief of Staff in corporate and personal travel preparation, including overnight and international accommodations, arranging itineraries and processing of documentation
    • Support Chief of Staff in organization and preparation for company outings and retreats
    • Ad hoc duties and/or special projects as assigned by Chief of Staff

Requirements

    • 1+ years of administrative experience in entertainment industry, preferably at an agency or management firm
    • Strong project and time management, strategic thinking and problem-solving skills
    • Resourceful, proactive, reliable, and assertive when necessary
    • Ability to communicate effectively and efficiently through strong written and verbal correspondence with all levels of management
    • Extreme attention to detail and ability to prioritize effectively in any situation
    • High level of discretion, proven ability to handle confidential and sensitive information
The hourly rate range for this non-exempt position in Los Angeles is $20.00 – $21.64.  The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors.  The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
